Stakeholder Engagement Checklist

Stakeholder Engagement and ongoing management throughout a project can be a full-time job.

Every stakeholder is different so there can be no clear prescription on how to manage them, what works for one might be the absolutely the worst approach for another.

Despite this, there are a few things that it’s useful to be in mind and refer back to, especially if a particular stakeholder is proving to be especially challenging.

Remember too that stakeholder analysis is an ongoing process. As your project or goal evolves, your stakeholders may change, and their interests and concerns may shift. It’s important to stay attuned to these changes and adjust your stakeholder management strategy accordingly.

1.       Develop a stakeholder management strategy: Based on your analysis, develop a strategy for how you will engage with each stakeholder. This may involve communication, consultation, or collaboration.

2.       Monitor and evaluate your stakeholder management: Regularly review your stakeholder management strategy to ensure it is effective. Make adjustments as necessary.

3.       Use stakeholder analysis tools: There are many tools available to help you with stakeholder analysis. Some popular ones include stakeholder mapping, power-interest matrix, and stakeholder engagement levels. These tools can help you visualize your stakeholders and their relationships, as well as prioritize your stakeholder management activities.

4.       Gather stakeholder feedback: It’s important to gather feedback from your stakeholders throughout the project or goal. This can help you identify any issues or concerns early on and address them before they become bigger problems. You can use surveys, focus groups, or one-on-one interviews to gather feedback. I’ve personally found that using “Form Templates” either in Google Workspace or MS365 is a really easy way to collect and consolidate feedback, especially if you work for a company that doesn’t like to use external survey apps like survey monkey and the like.

5.       Communicate effectively: Effective communication is key to successful stakeholder management. Make sure you are clear and transparent in your communication, and that you are listening to your stakeholders’ concerns and feedback. Keep your stakeholders informed about any changes or updates to the project or goal.

6.       Be flexible: Stakeholder analysis is not a one-size-fits-all approach. You may need to adapt your stakeholder management strategy based on the unique needs and concerns of your stakeholders. Be open to feedback and willing to make changes as necessary.

7.       Consider ethical and social responsibility: When conducting your stakeholder analysis, it’s important to consider any ethical or social responsibility issues that may arise. This may include issues related to environmental impact, social justice, and human rights. Make sure you are taking these concerns into account when prioritizing your stakeholders and developing your stakeholder management strategy.

8.       Align with organizational objectives: Your stakeholder analysis should be aligned with the overall objectives of your organization. Make sure your stakeholder management strategy is consistent with your organization’s mission, values, and goals.

9.       Involve all stakeholders: When conducting your stakeholder analysis, make sure to involve all stakeholders, including those who may be less vocal or visible. This can help ensure that all perspectives are taken into account and that your stakeholder management strategy is comprehensive.

10.   Monitor external factors: External factors, such as changes in the political or economic environment, can impact your stakeholders and your project or goal. Make sure you are monitoring these factors and adjusting your stakeholder management strategy as necessary.

It’s important to anticipate these conflicts and develop strategies for resolving them. This may involve mediation, negotiation, or other conflict resolution techniques.
